This Privacy Policy explains how we collect, use, and safeguard your information when you use our inventory management platform at quickstok.ai (the "Service"). By using QuickStok, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

We collect the following types of information to provide and improve our Service: Account Information: When you create an account, we collect your name, email address, and business name. Inventory Data: We store the inventory items, counts, par levels, and supplier information you enter into the platform. Receipt and Invoice Data: When you upload supplier invoices or receipts, we process the document contents — including product names, quantities, and prices — using AI to extract and match data to your inventory. Point of Sale Data: If you connect a Square POS account, we receive sales and transaction data from Square to calculate ingredient usage and update your inventory. Usage Data: We collect information about how you interact with the Service, including pages visited, features used, and actions taken. Device Information: We may collect information about your device, browser type, IP address, and operating system for security and performance purposes.

3. How We Use Your Information

We use the information we collect to: — Provide, maintain, and improve the QuickStok Service — Process your inventory counts, receipt uploads, and order alerts — Calculate average weekly usage, par levels, and reorder recommendations — Sync and analyze point-of-sale data to estimate ingredient depletion — Send transactional emails such as order alerts and count reminders — Respond to your support requests and communications — Monitor and analyze usage patterns to improve the product — Detect and prevent fraudulent or unauthorized activity — Comply with legal obligations We do not sell, rent, or share your personal information with third parties for marketing purposes.

4. AI Features and Data Processing

QuickStok uses AI to power several features, including receipt scanning, inventory recommendations, par level suggestions, and our AI assistant, Hopper. These features process your inventory and business data to generate suggestions and automate routine tasks. All AI-generated outputs — including par level recommendations, order quantities, and inventory insights — are suggestions only. No significant business decisions are made automatically without your review and approval. You remain in full control of all actions taken on your inventory. Receipt images and invoice data are processed by OpenAI's GPT-4o model for text extraction. Inventory recommendations and Hopper conversations are powered by Anthropic's Claude models. Data shared with these providers is used solely to deliver the requested feature and is governed by their respective privacy policies.

5. Data Storage and Security

Your data is stored securely using Supabase, a trusted cloud database provider. We implement row-level security to ensure your inventory data is completely isolated from other users' accounts. All data is encrypted in transit using TLS and encrypted at rest. We take reasonable measures to protect your information, but no method of transmission over the internet or electronic storage is 100% secure. We encourage you to use a strong, unique password for your QuickStok account.

6. Third-Party Services

QuickStok uses the following third-party services to operate the platform: — Supabase: Database and authentication infrastructure — Anthropic Claude: AI model used for inventory recommendations and Hopper AI assistant — OpenAI GPT-4o: AI model used for receipt and invoice scanning — Square: Point-of-sale integration for sales data sync (if connected) — Stripe: Payment processing for Pro subscriptions — Resend: Transactional email delivery — Vercel: Hosting and deployment infrastructure Each of these providers has their own privacy policies governing their use of your data. We only share data with these providers as necessary to deliver the Service.

7. Cookies

QuickStok uses cookies and similar tracking technologies to maintain your session and improve your experience. We use essential cookies required for the Service to function (such as authentication tokens) and do not use advertising or tracking cookies. You can control cookie settings through your browser, though disabling essential cookies may affect the functionality of the Service. QuickStok does not currently respond to Do Not Track (DNT) browser signals, as there is no industry-standard approach to honoring DNT requests at this time.

8. Data Retention

We retain your account and inventory data for as long as your account is active. If you delete your account, we will delete your personal data within 30 days, except where we are required to retain it for legal or regulatory purposes (for example, billing records may be retained for up to 7 years for tax compliance).

9. Your Rights and Data Requests

10. California Privacy Rights (CalOPPA)

Under the California Online Privacy Protection Act (CalOPPA), California residents have the right to know whether we disclose personal information to third parties for direct marketing purposes. We do not sell or share your personal information for direct marketing purposes. California residents may request information about our data practices by contacting us at privacy@quickstok.ai.

11. Children's Privacy

QuickStok is not intended for use by children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

We may update this Privacy Policy from time to time. We will notify you of any significant changes by email or by posting a notice on the platform. Your continued use of QuickStok after changes are posted constitutes your acceptance of the updated policy.
